ABOUT THE ROLE

The ideal candidate that pursues this role is seeking an opportunity to learn the many aspects of nonprofit fundraising with opportunities for growth within a dynamic city institution. This role supports crucial fundraising operations at NYSCI byproviding administrative support to the members of a seven-person development team, and occasional support to the office of the CEO. This position coordinates all gift processing and donor acknowledgments, liaises with finance staff for reporting and reconciliation, assists in the production of various donor cultivation and profile-raising events, records constituent data indatabase, performs donor research and coordinates department mailings, meetings and email communications.


The Associate reports to the Chief Advancement Officer. The salary range is $45-50,000. Primary responsibilities include:


  • Administer Raiser’s Edge fundraising database which includes all gift entry; creating gift and donor reports; providing mailing and funder lists; entering grant proposals, cultivation and stewardship actions; and making updates and enhancements as needed to support goals and objectives of the department.
  • Execute the department’s administrative functions such as scheduling meetings internally and externally, coordinating mailings and managing invoicing.
  • Coordinate with programmatic departments to announce grants, prepare grant fulfillment checklists, and finalize grant paperwork.
  • Produce donor acknowledgement letters.
  • Work with the finance department to maintain development department financial records and generate financial
  • reports.
  • Research, source and coordinate with external vendors.
  • Assist team with events execution including attendance tracking, invitation mailings and on-site check-in activities.
  • Collaborate with CEO’s Executive Assistant on various development and Trustee-related activities.
  • Identify and profile donor prospects.
  • Assist team in the preparation of grant applications, proposals and reports.
What You Offer NYSCI
  • Bachelor’s or equivalent level degree.
  • Highly organized, detail-oriented self-starter who is able to handle multiple projects simultaneously.
  • Excellent interpersonal, writing, proofreading, and technology skills.
  • Office experience with MS Office, G-Suite, and Raiser's Edge NXT/databases a plus.
  • Commitment to the philosophy and mission of New York Hall of Science.
  • Collaborative spirit and an ability to work diplomatically with stakeholders both internally and externally.
